Your smartphone camera is more powerful than most desktop scanners from five years ago. With the right app and technique, you can digitize receipts, contracts, handwritten notes, ID documents, and textbooks in seconds — with results clean enough to share professionally.
ScanFlow was built with one goal: make scanning effortless. But like any tool, knowing a few tricks separates good scans from great ones. Here's everything you need to know.
Getting the Perfect Scan: Lighting Is Everything
The single biggest factor in scan quality is lighting. Poor lighting causes shadows, uneven exposure, and washed-out text that OCR engines struggle to read.
- Use natural daylight whenever possible. Place your document near a window — but not in direct sunlight, which creates harsh shadows.
- Avoid scanning under a single overhead bulb. It casts shadows from your hands and the document edges.
- Use two light sources on opposite sides of the document to eliminate shadows entirely.
- Turn on your phone's torch only as a last resort — it creates a hot spot in the center of the image.
- For white documents, a dark desk surface provides the highest contrast for edge detection.
Quick Tip
The best scanning surface is a dark, matte desk. Avoid scanning on glass tables or shiny surfaces — they reflect light and confuse edge detection algorithms.
Positioning for Sharp, Straight Scans
ScanFlow automatically detects the edges of your document and corrects the perspective — but it works best when you give it a good starting point.
- 1Hold your phone directly above the document, as parallel to the surface as possible. Even a slight angle introduces perspective distortion.
- 2Keep all four corners of the document clearly visible within the frame. Don't let edges run off-screen.
- 3Maintain a steady hand — or rest your elbows on the desk for stability.
- 4Make sure the document is completely flat. Use books or weights to press down curled pages before scanning.
- 5Leave a small border of the desk visible around all edges so the auto-detection has contrast to work with.
Using Image Enhancement Modes
ScanFlow includes several enhancement modes that dramatically improve the readability of your scans. Choosing the right mode for your document type makes a big difference.
- Document (Black & White) — best for printed text, typed contracts, and forms. It increases contrast and removes background noise, producing clean black text on a white background.
- Grayscale — ideal for handwritten notes, pencil sketches, or any document where shading matters.
- Color — use for photos, brochures, certificates with colored elements, or any document where color accuracy is important.
- Auto — lets ScanFlow choose the best mode based on what it detects. Great for quick scans when you're in a hurry.
Pro Tip
For handwritten notes, always use Grayscale mode. The Black & White mode's high contrast can sometimes lose faint pencil strokes or light ink.
Exporting to the Right Format
ScanFlow lets you export in PDF, JPG, and other formats. Knowing which to use saves time and keeps your files the right size.
- PDF — always use PDF for multi-page documents, contracts, reports, and anything you'll share or print. PDFs preserve formatting across all devices.
- JPG — use for single-page documents, photos, or when you need a smaller file size to share quickly via messaging apps.
- High-resolution export — always choose this for documents you'll need to zoom into, sign digitally, or print larger than A4.
Organizing Your Scans with Folders
As your scan library grows, organization becomes essential. ScanFlow lets you create folders to keep everything in order. A good folder structure saves you from endless scrolling when you need a document urgently.
- Create folders by category: Work, Personal, Finance, Medical, Education.
- Name files immediately after scanning — generic names like 'Scan_001' are nearly impossible to find later.
- Use dates in file names for receipts and invoices: e.g. '2026-04-Electricity-Bill'.
- Archive old scans in a dedicated 'Archive' folder rather than deleting them — you never know when you'll need something again.
Optional Cloud Sync: When and How to Use It
ScanFlow's cloud sync is entirely optional — your scans stay on your device by default. But if you work across multiple devices or want a backup, enabling cloud sync ensures you never lose an important document.
- Enable cloud sync in Settings → Cloud Storage. Your scans upload automatically when connected to Wi-Fi.
- Disable sync for sensitive documents like ID cards or financial records if you prefer them device-only.
- Cloud sync is end-to-end encrypted — your documents are not readable by anyone except you.
- You can delete cloud-synced files from within the app at any time.
Privacy Note
Cloud sync is disabled by default. We designed ScanFlow so that your documents never leave your device unless you explicitly choose to enable sync. Your privacy comes first.
Scanning Different Document Types
Receipts & Invoices
Thermal paper receipts fade over time. Scan them immediately after you receive them. Use Black & White mode and maximum brightness. Save to a 'Finance' folder with the date and vendor name.
Multi-Page Contracts
Use ScanFlow's multi-page capture mode — tap the '+' button after each page to add more pages to the same PDF. This keeps the entire contract in one file instead of separate scans.
Books & Textbooks
Press the page flat with one hand and scan quickly. For thick books, hold the spine open firmly or use a book stand. ScanFlow's perspective correction will handle pages that aren't perfectly flat.
ID Documents & Passports
Always use Color mode for IDs. Ensure the entire document is within the frame and well-lit. For passports, photograph the open page on a flat surface. Consider not enabling cloud sync for these sensitive documents.
“ScanFlow is free with no limits on the number of scans. Scan as much as you need — there's no premium tier or daily cap.”
Final Thoughts
A good scan isn't just about pressing a button — it's about preparation: the right light, the right surface, the right enhancement mode. Once you build these habits, ScanFlow becomes one of the most useful tools on your phone. Start with the lighting tips and you'll immediately notice a difference in quality.
